Keep the file attached to the work that gives it meaning.
Files in Premier are attached to the thing they belong to, a customer, a project, a request, rather than living in a folder tree that only its creator understands. Finding the signed contract means opening the customer, not searching a drive.
Permissions follow the record. If someone can see the project, they can see its documents; if a client is on a portal, they see only what you published. Access can be revoked instantly without breaking anything internally.

Files sit on the record they relate to, with search across all of them.
Sharing externally means email attachments with no control.
Publish to a portal with permissions you can revoke at any time.
Nobody is sure which version is current.
One current version with full history behind it.
Questions about Files.
Can clients upload files?
Yes. Portal users can upload requested documents straight onto the project or request they belong to.
How is access controlled?
File permissions inherit from the parent record and role, with the option to restrict individual documents further.
Is there version history?
Yes. Uploading a new copy creates a version; previous versions remain viewable and restorable.
Can we export everything?
Yes. Bulk export files and their metadata at any time.
